I ran a marketing agency for six years before starting Buildremote. So, I have lots of experience running marketing meetings. But on the other hand, I think most meetings are terrible (here’s some proof: we cut way down on our meeting cadence and I think most companies’ meetings are killing them).

1. Marketing Team Meeting Agenda Template (Internal)

Purpose: To get everyone on the same page about the metrics/results, the initiatives planned to drive the results, and to discuss new ideas to pursue or roadblocks to clear.

Template:

  • Frequency: Weekly, Monthly
  • Attendees: Marketing team members, Marketing Manager/Director
  • Duration: 45 minutes

Agenda:

  • Reporting (15 minutes)
    • For small teams, this could be one person presenting the marketing metrics/dashboard
    • For large teams, this could be specialists or department heads reporting on metrics for their areas (SEO, PPC, social, tradeshows, etc.)
  • Sprint/Project Management Review (10 minutes)
    • What was completed in the previous sprint/week/month?
    • What wasn’t?
    • What got in the way?
  • Discussion (15 minutes)
    • Discussion of what is causing the changes (good and bad)
      • Do our projects and initiatives support the growth we want to see?
      • Do we need to make any changes to our plan as a result of the metrics?
  • Next Steps (5 minutes)
    • Summary of the decisions made
    • Agreement on the tasks and task owners for the next meeting

2. Marketing Team Standup Meeting Template (Agile/Scrum)

Purpose: To provide quick updates on daily or weekly tasks, discuss any roadblocks, and facilitate collaboration among team members.

Template:

  • Frequency: Daily, 2x per week or 3x per week
  • Attendees: All marketing team members
  • Duration: 15 minutes maximum

Process:

  1. Start and end on time
  2. Set a consistent time for the meeting to occur each day
  3. Screenshare your project management board
  4. Go around one-by-one to share updates on the questions below

Agenda:

  1. What did you work on yesterday?
  2. What will you work on today?
  3. What is getting in your way?

3. Marketing Team Retrospective Agenda Example (Agile/Scrum)

Purpose: To reflect on the past sprint (people, relationships, processes, and tools) so that you can improve for the next sprint.

Template:

  • Attendees: All marketing team members, Scrum Master
  • Frequency: At the end of each sprint (1, 2, or 4 weeks typically)
  • Duration: 1 hour

Agenda:

  • What went well last sprint? (15 minutes)
    • Discuss things that should be continued
  • What didn’t go well last sprint? (15 minutes)
    • Discuss things that got in the way of success and why
  • What did we learn last sprint? (15 minutes)
    • Discuss ideas or process improvements that were discovered last sprint and should be maintained
  • What should we do differently the next sprint? (15 minutes)
    • Discuss specific ways to change to clear roadblocks
    • Record the exact tasks that need to be completed (and by whom)

4. Agency/Client Marketing Meeting Agenda (External)

Purpose: To update the client on the current campaign progress, gather feedback, and discuss the next steps.

Template:

  • Frequency: Monthly
  • Attendees: Client point person, Agency point person
  • Duration: 45 minutes

Agenda:

  • Client Updates (5 minutes)
    • Ask the client: What has changed at the company? What is on your mind? Is there anything you’d like to decide today?
  • Project Management (5 minutes)
    • If you’re an Agile/Scrum agency, you show the backlog and Kanban board here
    • Discuss what was completed in the previous month and what is planned for this month
    • Update on the tasks that came about from the last meeting
  • Monthly Reporting (15 minutes)
    • Presentation of the marketing metrics (scorecard)
    • Analysis of what is causing the changes (good and bad)
  • Discussion (15 minutes)
    • What needs to change (if anything) based on the reporting?
  • Next Steps (5 minutes)
    • Summary of the meeting
    • Consensus on the tasks for the next meeting and projects to work on this month


 

5. Campaign Performance Meeting Agenda Template

Purpose: To analyze detailed performance metrics of specific marketing campaigns, discuss effectiveness, and adjust the plan (if needed).

Template:

  • Frequency: Weekly, Monthly
  • Attendees: Campaign Manager, people working on the campaign
  • Duration: 30 minutes

Agenda:

  • Reporting (10 minutes)
    • For small teams, this could be one person presenting the marketing metrics/dashboard
    • For large teams, this could be specialists or department heads reporting on metrics for their areas (SEO, PPC, social, tradeshows, etc.)
  • Strategy Review (10 minutes)
    • How are we improving over time?

    • What wasn’t?
    • What got in the way?
  • Next Steps (5 minutes)
    • Summary of decisions and tasks assigned
    • Confirmation of the next scheduled meeting
